Financial Management Services (FMS), a department within Business Affairs, is responsible for creating an ecosystem which promotes innovative and sound financial administration policies and practices that balance controls, compliance, and customer service. FMS is primarily responsible for financial policy oversight, quality assurance and financial services at Stanford University and its affiliated entities. It also serves as a liaison to the hospitals and the Stanford Linear Accelerator Center (SLAC). JOB PURPOSE:

Under the general direction of the Payment Operations Manager the Accountant 1 is responsible for account disbursements such as payment processing and payment exception handing. Perform moderately complex accounting activities and payment operations responsibilities, including monitoring accounts and payment transactions, preparing relevant documentations and maintaining process documents, account reconciliations and reporting.

CORE DUTIES:

  • Execute daily transaction processes, ensuring all payments are accurately processed, recorded, and reconciled in Oracle ERP.

  • Validate and process of USD and foreign currency wire payments, resolve issues related to outgoing returned and rejected wire payments.

  • Maintain, reconcile, review, combine, and validate financial reports from multiple systems and bank portals.

  • Support risk and internal control management to prevent payment fraud and errors.

  • Analyze financial data and create journal entries to record operational transactions.

  • Perform system testing related to process improvements, system upgrades and enhancements.

  • Prioritize, and resolve Payable issues; probe beyond stated situation; identify underlying issues; recognize exceptions; perform preliminary analysis; escalate broader issues.

  • Collaborate with cross-functional teams, respond in a professional and timely manner.

  • Serve as a liaison with our bank client service representative to resolve payment discrepancies or inquiries

  • Contribute to the development and maintenance of desk top procedures and process documentation; include streamlining existing procedures, templates and reports for enhancing controls.

  • Detail oriented and execution minded.

  • Partner with the Financial Support Center to resolve inquiries and transactions within the defined SLA.

  • Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.

MINIMUM REQUIREMENTS:

Education & Experience:

Bachelor’s degree in finance or relevant experience in Finance/Accounting desired, plus two years of applicable experience, or combination of education and relevant work experience.

Knowledge, Skills and Abilities:

  • Proficiency in basic business applications, such as Microsoft Office suite, Excel.

  • Demonstrated experience of financial systems, internet and computer literacy.

  • Understanding of and ability to apply accounting skills and concepts.

  • Demonstrated communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal audiences and client groups.

  • Ability to learn project management skills and to participate as part of a project team.

PHYSICAL REQUIREMENTS:

  • Primarily perform desk-based computer tasks.

  • Frequently sit, sort, file paperwork or parts, grasp lightly, and use fine manipulation, lift, carry, push and pull objects that weigh 10 pounds or less.

  • Occasionally write by hand, twist, bend, stoop and squat.

  • Position may require driving to Stanford main campus.

  • May work extended hours during peak business cycles.

The expected pay range for this position is $74,000 to $90,000 per annum.
